Event production in the Santa Ynez Valley

Los Olivos sits in the Santa Ynez Valley, where we work regularly rather than occasionally.

We spent a week at the Alisal Ranch in Solvang with General Motors for a vehicle program. A week on one site is a different job from a one-night event: the build changes between days, the client’s needs change with it, and the crew has to live with every decision made on day one.

We returned to the valley for a Vince Gill show with a Meyer Sound system and a separate monitor rig, which is the other end of the same market: a touring act on a valley stage rather than a corporate program. Stage, sound and concert lighting for a show like that come out of our own inventory.

Ranches, wineries and open ground

Valley venues are mostly ranches, wineries and open ground rather than purpose-built event spaces. Nothing about the site can be assumed.

Power, cable runs and rigging points all have to be surveyed rather than taken from a floor plan. Several of the best sites here have no three-phase power at all, so generators and distribution belong in the plan from the start rather than being discovered on load-in day. A generator booked late costs more and arrives at the wrong time.

Ground conditions matter too. Cable runs cross lawns and gravel that vehicles also use, and a valley property in summer is dusty enough to need faders and connectors protected on a multi-day build. Our audio visual builds are specified for that ground rather than for a ballroom floor.

Valley venues worth knowing

The Santa Ynez Valley’s event spaces are wineries, ranches and estates rather than hotels.

Zaca Mesa Winery and Vineyards in Los Olivos sits between the San Rafael and Santa Ynez mountain ranges. Whispering Rose Ranch is an 80-acre estate in the middle of the valley. Standing Sun Wines in Buellton is an intimate industrial space used for corporate retreats and private events, at the gateway to the valley. Alisal Ranch in Solvang, where we spent a week with General Motors, is the other end of the scale.

None of these is a purpose-built event venue, and that is the point. Each has its own power situation, its own access for a truck, and its own answer to where a stage can physically go. A quote written from a photograph is a guess; a quote written after a site visit is a number.

Outdoor valley conditions

The valley runs hot through the afternoon and cools quickly after sunset. That swing is harder on equipment than a coastal site and harder on guests than most people expect when they book in spring.

Shade for the crew during the build and cover for the gear overnight are part of the plan rather than an afterthought. On a multi-day event, the difference between a covered rig and an uncovered one is whether day three starts on time.

Light is the other valley specific. Sunset arrives behind the hills earlier than the clock suggests, which moves the point at which stage lighting has to carry the event.

Search for event production in Los Olivos and you get wineries, venue directories, wedding-service listings and valley tourism pages. Almost nothing on page one is an event production company, and nothing explains what producing an event on valley ground actually involves.

That gap is the reason this page exists. A vineyard lawn or a ranch field has no power, no cover and no load-in path. Those are not details to settle later. They decide the equipment list, the crew size and the schedule, and they are the difference between a generator quoted in advance and a problem discovered at four in the afternoon.

What it costs

Corporate AV is quoted per room and per day, and outdoor valley events add costs an indoor venue does not have.

Published industry figures put standard conference audio at $5,000 to $10,000, with a 300-person multi-day event running $5,000 to $15,000 each for audio and video, $3,000 to $10,000 for lighting and $10,000 to $25,000 for crew.

On valley properties, generator hire and power distribution are usually additional, and so is weather contingency for anything not under cover. We quote those separately rather than folding them in, because they are venue costs rather than production costs and you may be able to solve them another way.
