An event production company supplies and runs the technical side of an event: audio, lighting, video, staging and the crew who operate them. That is different from an event planner, who books the venue, manages vendors and owns the schedule. Production companies build and run the show itself. Many events use both, and some production companies handle the technical planning as well.
What is the difference between event production and event planning?
Event production is the technical execution of an event, while event planning is the coordination around it. A planner secures the venue, manages the budget and keeps the timeline. A production company designs the sound, lighting and video, builds the room and runs the show. Ask which one a company actually does before signing, because the words are often used interchangeably.
What does full-service event production include?
Full-service event production includes the site visit, technical design, equipment, rigging and staging, the run of show, and the crew who operate everything on the day. It should also cover load-in, rehearsal and strike. The test of “full service” is whether one company owns the technical outcome, or whether you are coordinating a sound vendor, a lighting vendor and a video vendor yourself.
How much does AV cost for a conference?
AV for a conference is quoted per room and per day, and published figures vary widely because they cover different scopes. Providers ranking for this search put standard conference audio at $5,000 to $10,000, and a 300-person three-day conference at roughly $5,000 to $15,000 each for audio and video, plus $10,000 to $25,000 in labor. Full branded general-session production runs far higher. Crew is usually the largest single line on the quote.
Do you provide crew as well as equipment?
Yes, we provide crew as well as equipment, and for anything beyond a simple room we recommend it. Equipment-only rental works when you already have technicians who know the gear. Most problems at events are operational rather than mechanical, so having the people who built the system in the room is what keeps a show on schedule.
What size events do you handle?
We handle events from single meeting rooms to multi-day conferences and outdoor festivals. Grant Sound & Lighting has run UCSB commencement ceremonies for crowds in the thousands and single-room corporate presentations in the same week. The technical approach scales; what changes is crew size, redundancy and how far in advance the site visit needs to happen.
What areas do you serve?
We serve Santa Barbara, Ventura, Los Angeles and San Luis Obispo counties, and travel beyond that for existing clients. Most of our work is event production in Santa Barbara itself. We cover Ventura County the same day from the warehouse there. We run regular corporate programs across Los Angeles. In Orange County we work the Anaheim Convention Center most often, and we travel to San Diego for multi-day conferences where continuity matters more than proximity. Other regular venues include the Santa Barbara County Courthouse, the Bacara, the Fess Parker and UCSB. Travel and lodging are quoted separately for events outside the immediate area.
